The Problem

Monday morning, finance team builds last week's report.

By the time numbers reach you, the week is half over. The dashboard you actually need lives across three different exports, two systems, and a Slack thread. The numbers don't even agree.

weekly_report_v7_FINAL_v2.xlsx
Sent 4 days late
Revenue Payouts Funnel Cohorts Sources
Revenue (sheet 1) $284,140 payment processor
Revenue (sheet 2) $281,920 trading platform
Revenue (sheet 3) $285,400 accounting export
Diff? $3,480 need to investigate
Numbers don't reconcile. 3 sources, 3 different totals. Finance lead spending Monday tracking down the gap before the founders' meeting.

Always behind

By the time the weekly report lands in your inbox, the issue it identified is already a week old. Decisions get made on stale data, or no decisions get made at all.

Numbers don't reconcile

Payment processor says one number, trading platform says another, accounting export says a third. Finance team becomes detective instead of strategist.

Can't slice or filter

Want revenue per challenge type? Per traffic source? Per cohort? Per geo? That's three new exports and a pivot table away. Real questions wait for next week.

The Full Dashboard

Multiple widgets. One screen.

Built around the questions founders and ops leads actually ask. Which challenge types make money? How are accounts moving through phases? What happened in the last hour? All in one place, all live.

Cohort Performance

Which challenges actually make money?

Pass rate, payout exposure, revenue, and ROI per challenge type and account size. The numbers founders need to decide which products to push and which to retire.

Instant $25K converts hard but pass rate is 38%, payout exposure is eating margin. 3-step $200K has the best margin per signup but volume is low. The kind of insight you can't pull out of an Excel export in 30 seconds.

Real Investigation

How a founder spotted a $40K leak in 5 minutes.

A real Tuesday morning at one of our partner firms. The kind of thing that takes a finance team a week to surface, the founder caught with two clicks.

00:00
Founder opens the dashboard, notices payout exposure spiked 22% week over week Live KPI card showed exposure at $52K vs $42K the previous week. No new pricing change to explain it.
01:30
Drilled into cohort performance, filtered last 14 days Instant $25K cohort jumped from a 32% pass rate to 41% pass rate. Higher pass rate = more funded accounts = more payout exposure.
03:10
Cross-checked phase 1 win rates, found abnormally fast passes A subset of Instant $25K accounts hit profit target in under 6 hours, with hold times under 30 seconds per trade. Classic HFT or copy-trading pattern.
04:30
Forwarded the cohort list to ops + risk team Risk Tools investigation opened on the cohort. Ops team picked up the case from there, suspended suspect accounts pending review.
05:00
Total time from spotting the anomaly to taking action: 5 minutes. Same investigation in Excel-and-CSVs land would have surfaced 1-2 weeks later, after another $20-40K in payouts had already gone out.
Outcome: ~$40,000 in projected leak avoided. The pattern would have continued for 2-3 more weeks otherwise. Reporting & Analytics turns Tuesday-morning curiosity into Tuesday-afternoon action.
Common Questions

Prop firm reporting analytics FAQ

The questions every founder and finance lead asks before betting their reporting on a vendor.

How real-time is "real-time"?

Numbers update as events happen. New signup hits the dashboard in seconds. Payout request, challenge purchase, phase completion, all flow through to the dashboard immediately. No 5-minute or 15-minute refresh delay.

What metrics are built-in vs custom?

40+ standard metrics out of the box: revenue, signups, payouts, payout exposure, pass rates per phase, funded accounts, refunds, average ticket value, time-to-funded, profitability per cohort, geo breakdown, KYC status. Beyond that, custom reports let you slice any combination of fields you have in the system.

Can I plug this into my BI tool (Tableau, Looker, Metabase)?

Yes. Export data via API, scheduled CSV exports, or direct database read access depending on your setup. Most clients use the built-in dashboard for ops and pipe data to a warehouse / BI tool for finance and board reporting.

Can different team members see different views?

Yes, role-based access. Founders see everything. Finance sees revenue / payouts / accounting metrics. Ops sees risk / activity / payout queue. Compliance sees KYC / audit logs. Each team can save their own dashboards and reports.

How do scheduled exports work?

Build a custom report, save it, choose a schedule (daily / weekly / monthly / specific weekdays), choose recipients, choose format (PDF / CSV). The report runs automatically at the scheduled time and emails the result. Recipients can include team members, accountants, board observers, etc.

Do you store our data forever?

Historical data is retained for as long as your account is active. Exports remain available throughout. We don't delete or aggregate your data without your permission, and you can export everything at any point if you want a portable copy.

Stop reporting on Monday. Decide on Tuesday.
